Why a Phone Call Is Better Than an Email (Usually)

 This isn’t going to be about efficiency. Sometimes the phone is a more efficient way to communicate than e-mail, and sometimes it isn’t. If two people leave a dozen messages on each other’s voice mail, that’s a lot less efficient than sending a single e-mail and reading a reply to it. 
No, this isn’t going to be about how telephonic communication helps you work faster. 
This is about how the phone makes you work better. 
Because unlike e-mail, the phone forces you to be more emphatic, more accurate, more honest. 
Tell that to a neuroscientist, and before you’ve even finished the sentence he’ll start laughing
—at what you’re saying, and the accompanying emotional gradients.
What, you’re not aware of emotional gradients? You have tons of them, and you’re constantly communicating them to people—but only when you speak, not when you write. 
“We’re picking up and processing heard information 
within 50 milliseconds of someone speaking.
A lot of this information doesn’t get processed at a cognitive level,” says Seth Horowitz,
an auditory neuroscientist. “Some of the first targets for heard information
are emotional substrates, so [when] listening to someone’s voice,
you’re picking up emotional gradients from them.” 
Read the following e-mails and consider the emotional gradients that aren’t being conveyed.

Joe Huff, co-founder of Los Angeles-based LSTN Headphones, which partners with a nonprofit
that provides hearing aids to people in need, is—obviously—a believer in the power of voice. 
“There have been so many times, a new store or account or potential press relationship,
we’ve gotten on the phone with them and after the conversation, even [after] just a 15-minute story about what we do and why, they say, ‘Wow, I read everything on your website,
but to hear you tell it, there’s a huge difference.’
Because we have a passion-based business, it’s really important for us to get that across.”
This happens all the time in business. Yet we are still wary of picking up the phone.
We don’t want to bother people. We think they don’t want to talk. And maybe they don’t.
But you’re not ever going to find that out through e-mail. You’ll find it out on the phone.
If they stammer, hedge and pause, then you have valuable information.
Maybe not the information you were looking for, but valuable info nonetheless. 

THE MEANING OF SILENCE
Speaking of pausing, it’s important to remember that some of the most valuable information comes from the pauses in a phone conversation.
Pauses that simply don’t exist in written communication.
Says Horowitz: “There have been studies that show that if you’re presenting a listener 
with a series of words or tones, and you take an extended silence, 
certain populations of cells in their brains start looking for the signal, 
and if it doesn’t happen in a certain period of time,
it triggers arousal centers, emotional centers.
Silence is an important part of communication, and something people don’t pay attention to.”
Our obsession with e-mail denies a crucial truth about human beings: that we have evolved
as listeners, not as readers. Here’s Horowitz again—and as you read this paragraph,
think about how much more powerful it would be if this guy were talking to you on the phone: 
“We think about ourselves as being the new smartest rulers of the planet, but our ears
have evolved, and a basic brain circuitry of hearing has evolved over 400 million years,
and a lot of it centered on hearing the sound of your own species. That’s the most important signal, even if you can’t see them. Hearing evolved as your alarm system, because we’re diurnal, we don’t see well at night, but our hearing is running all through the darkness 
and even when we are asleep. A sound, even without a visual tie to it, is very important to us.
We’ve evolved to listen to other people talk.”

How a Manager Can Promote the 'Future of Work'

What does the term a “new way to work” signify?
My company, Unify, posed that question to 961 professionals scattered across the globe
and found in the results (published in June) that for 47 percent it meant
“working where I want to work” and for 43 percent it meant “working when I want to work.”
For 39 percent it meant “working in a flatter more collaborative organization,” while 32 percent said the new way to work means “working on virtual teams that form and disband as needed.”

These numbers will only grow as more “anywhere workers" realize the many benefits
of the new way to work, particularly as advances in collaboration technology enable workers
to be connected virtually to their teams via laptops and mobile devices
as easily as they might be in a brick-and-mortar office.

Given that, what practices do managers need to do to promote ensure their teams are collaborating effectively? Here are five best practices to remember when managing or supporting a virtual team:

1. Leverage technology to simplify virtual collaboration.
Collaboration technology such as cloud-based file sharing, web collaboration and other tools
make it easy for employees to work remotely, giving them greater flexibility to labor
when and where they are most productive. 

Recently, The Guardian reported that in the United Kingdom, the “right to request” flexible work hours has been passed into law so employees can now formally request a change in hours. Having the right collaboration tools will be critical to ensuring teams continue to communicate easily.

The ability to share across social platforms or internally within private networks has led to
an age of collaboration as technology platforms are directed to connect the right people, 
whether co-workers, customers or citizens, to deliver content more securely and efficiently.
Today, 86 percent of companies use more than one type of cloud service,
 according to Cloudability’s data about its clients. 

2. Build a culture of open virtual collaboration.
An earlier Unify-led survey found 80 percent of those on successful teams
are as likely to pitch a spontaneous idea during a virtual meeting as in a face-to-face meeting.
Dan Schawbel, author of Promote Yourself and a millennial workplace trend expert,
said companies "can use technology to foster collaboration, crowd source new information and reach out to all stakeholders to bring customers and partners closer to employees and products.”
Indeed technological collaboration closes the gap between employers and employees
and leads to more success with sourcing opportunities.

3. Find the right person for the assignment, regardless of location.
With the rise of remote working, companies are hiring the best talent no matter the location. Companies can do that because virtual meetings allow people to meet up in real time.
When it comes to management, it's not always giving an assignment to the most senior member,
it's about matching the expertise to the right team member who poses the knowledge base. 
This shift in team management will bring more expertise to company projects and it’ll make employees happier to know that individuals are included because of their talent or expertise.
In fact, 30 percent of those surveyed in the Unify study believe less hierarchical
or silo-based organizations would promote practices professionals feel are more progressive
like flexible and remote working via video conferencing and collaboration. 
Collaborative approaches to team management, facilitated by virtual meetings,
allow the best talent to be utilized and creates more egalitarian workplaces.
“Having a flat hierarchy instead of a vertical one, enables employees to better switch jobs
within their organizations and create an entrepreneurial environment that they can thrive in,”
wrote Schawbel in an email. “Employees will be more dispersed so companies have to learn
how to manage remote workers and remote workers will have to manage themselves.” 

4. Reframe your management style and put trust at the center.
A manager overseeing a team that’s diverse and across several time zones
must adjust his or her leadership style. He or she shoud set up best practices for employees
to follow, and trust that team members can be organized
and determined to work on their own without someone being there in person.
The new way to work gives flexibility, but with that freedom comes responsibility, too.
Video conferencing and virtual meetings are essential ways to sync and to stay focused
on team objectives. Managers should remind team members that “work” is not a location anymore, but a state of when you are your most productive.
Trust is essential in order to empower yourself and others so people do their best work. 
The best managers leverage technology to practice what they preach; instead of requiring
everyone to meet in a conference room at 8 a.m. sharp,
managers use video conferencing to enable teams to meet in a virtual setting.
It removes the confusing logistics so all can contribute in real time,
where ever they are most productive. The notion of face-to-face meetings is changing.
With the right technology, the user interface of these video conference calls makes it feel as if
team members are right there in the room. 
With 48 percent of professionals requesting a change in company culture
and 46 percent wanting a change in management philosophy to achieve the new way to work,
per the Unify study published in June, collaborative technology isn’t just being used by big business and tech companies recruiting millennials.

5. The new way to work is for everyone.
It’s not just technology or creative industries that are embracing the new way to work.
These new modalities are the future for finance, health care, automotive, manufacturing
and any number of industries. This is a revolution to maximize an individual’s productivity
through the right technology, so individuals feel more empowered in their own careers
and mprove the productivity of the company.
Small to midsize businesses, and even government agencies, are part of the new dynamic.
Jacob Morgan, the author of The Future of Work, believes small to midsize businesses companies can typically move faster, are more agile and tend to live on the fringes.
“This means that [small to midsize businesses] can try new things and experiment at a more rapid pace," Morgan said. "Larger companies tend to move slower than smaller ones
but we have still seen global organizations like GE, Schneider Electric, Unisys, Unilver
and many others take steps toward creating more collaborative organizations.”  
“Government agencies are perhaps among the slowest but they too are going to have to adapt," Morgan said. "Every company, regardless of size or industry, is going to have to challenge convention around how employees work, how managers lead, and how companies are structured.” Indeed government agencies are beginning to lean into collaborative trends
because it’s cost effective when it comes to saving on real estate
and officials want the freedom to work from different locations.  
For many managers and companies, the new way to work may feel like an unattainable goal,
but it is the future and it is coming quickly.

You check your email as soon as you wake up, and send text messages 
from just about everywhere. But if you’re not taking a break every now and then, 
you could be hurting your effectiveness,
says Joanne Cantor, founder of Your Mind on Media,
a Madison, Wisconsin consulting firm that helps companies manage cyber-overload.

Research backs that claim:
A 2012 study by the University of California, Irvine and U.S. Army researchers found that
being cut off from work email periodically significantly reduces stress and increases focus.
We know: You own a business. People depend on you. You can’t disconnect.
But Cantor says that’s not really true. Maybe you can’t turn off your smartphone entirely 
for a week, but here are five ways you can buy some tech-free time.

1. Recruit a gatekeeper. "Our gadgets take control," says Cantor.
"Business owners used to have secretaries and other gatekeepers who understood
the critical people who had to get through and had tactful ways 
of running interference with those who could wait," she says. 
An assistant or trusted second-in-command can field calls while you’re working on a project
that needs focus or when you simply need a day off. If that’s not an option, 
change your outgoing voicemail message to tell callers you’re unavailable 
and let them know when you’ll be available to answer their calls. 
And, don’t forget to turn off instant messaging.

2. Schedule your prime time. 
The best time to be tech-free is the time when you are most productive or creative, she says. Perhaps you’re sharp as a tack first thing in the morning or get your second wind at 3 p.m.
Think about your most productive times and block out those windows as you would
an important meeting, she says. A disconnected hour or two several times a week
can make a tremendous difference in your creativity, focus and the quality of your work, 
she says.

3. Use a distraction-blocking app.
Even as our smartphones, tablets and laptops seek to monopolize our time,
a collection of apps has emerged to help us disconnect. AntiSocial and Freedom are site blockers, making any time-sucking sites (like Facebook) unavailable for as long as you choose.
iPhones running the iOS6 platform and apps like I’m Sleeping and Ultimate Call Block
offer "do not disturb" functions, but also allow you to whitelist certain people (your gatekeeper, spouse, or your child’s school for example) to bypass your settings and always ring through.

4. Change your culture. 
If you’ve spent time cultivating an "always on" workplace, it’s not going to change overnight,
says Cantor. But change is possible. Work on a communication hierarchy for your team,
setting boundaries for essential and non-essential contact.

For example, if the issue is urgent, reach out with both phone and text messages.
Non-urgent issues will be communicated by email with a “please respond by” time.
No non-urgent messages of any kind will be sent between 8 p.m. and 6 a.m.
That might not be your company’s game plan, but you can set boundaries.
"It has to be tailored for your workplace, but there has to be a discussion and agreement
so that everybody’s on the same page about communication," she says
